Advisory board meeting Arts and public artParks and recreation

This board published no item list for this meeting, so the subjects above were read from the write-up rather than from an agenda.

What's on this agenda

Apex's Parks and Recreation Advisory Board met on 27 May 2026. The town publishes no agenda or minutes for this board, so this is written from the meeting's captions.

Summarized from the published agenda. Read the agenda itself before acting on it.

Meeting recap

What happened, drawn from the records published after the meeting. Recording

A short meeting, and the useful thing in it is a notice that four seats on this board are open.

The deputy town clerk told the meeting the town is advertising two regular member positions, one senior member seat that must be filled by someone aged 55 or over, and one youth representative, which on this board is non-voting. She said so partly for the live stream, on the chance anyone watching wanted to apply. A member whose term was ending asked whether someone who applied for a partial term has to apply again; the answer is that an application stays on file for a shorter term, but anyone who has served a full year submits an updated one, or at least confirms in writing that they want reappointing.

Staff gave notice that the fee study is coming back, probably in June. When the team worked through the formulas they found some prices would rise sharply, so they have gone back over the wording to keep the town's fees in line with the local market. Staff described the changes as minor in themselves but significant in what they do to pricing.

The clerk also flagged two corrections before the board adopted its April minutes: the meeting calendar was published in the wrong format, 29 July should read "no meeting" rather than "cancelled", and the April minutes still carried the board's former name, the Apex Parks, Recreation and Cultural Resources Advisory Commission, in the header and opening line.

Upcoming events were a coach appreciation evening and family field day at Pleasant Park on 5 June, and an afternoon in the pollinator garden at Apex Nature Park on 27 June. A sushi and sumo event was rained off and will be rescheduled.

How the votes went

Two votes, both by voice and both carried without opposition: adoption of the April minutes as corrected to the board's current name, seconded by Lisa Montoya, and adjournment.

Who spoke

No members of the public spoke.

The chair called public comment. The only person to speak was the deputy town clerk, on the vacancies, so no member of the public spoke.

Automatic captions from the recording, "2026.5.27 Parks & Rec Advisory Board Meeting". Runs 36 min. These are machine transcriptions, not a court record. They misrender names and figures — "Kildaire" comes through as "kill dare", and case numbers arrive as noise. Each timestamp opens the video at that moment, which is how a passage here gets checked against what was said.

Like to call to order the May 27th, 2026 Apex Parks and Recreation Advisory Board meeting. We always start our meetings with a moment of invocation. So, if you would. Thank you. Next, Pledge of Allegiance.

I pledge allegiance to the flag of the United States of America and to the republic for which it stands, one nation under God, indivisible, with liberty and justice for all.

Next up, Ashley will come and give us a correction or amendment to the the previous meeting minutes.

Welcome.

[clears throat]

Good evening. Ashley Gentry, Deputy Town Clerk. Hope everyone is doing well this evening. It's good to see you guys. So, first order of business, I just have some updates um on related to your agenda packet. That is just some clerical errors and I just wanted to make um you aware of before going into adoption of your meeting minutes. Um but first, I do want to cover the um what is um advertised online and in your packet, the um meeting schedule for 2026. Um this in the packet is the wrong format. I just wanted to update the format. That's one clerical error on on that and on um July 29th, it states the location

[0:25:55]

states canceled. That just needs to state no meeting. So, these are just some clerical updates that um I we need to I need to make um just so you're aware of that. So again, the the calendar is in the wrong format and Wednesday, July 29th needs to state no meeting instead of canceled meeting. Those are the that update on that. Number two update, um clerical update, is the meeting minutes for um April 29th that you are adopting. The um board is now called the Parks and Recreation Advisory Board. And if you notice the top of the the header here states the previous name, the um Apex Parks Recreation Cultural Resources Advisory Commission. So, that is not your um your board's name anymore. So, that needs to be revised um as well as the language underneath that stating the um Parks and Recreation Culture Resources Advisory Advisory Commission met on so and such and such date. So, that first line in the minutes, that needs to be corrected. So, I just wanted to bring that to your attention. Um if you did not see that, um I did catch that and um so, before you adopt it, I just want to make sure you're aware. And that's all that I have. If you have any questions, I'm happy to answer.

Questions?

Thank you.

You're good.

All right. Thank you.

So, I will say when when they make a when he makes the recommendation for the minutes, he'll just need to make note of the amendments that you've just

The the revisions to the um meeting minutes, which is the um correction to the name and the um location or not the location, the ongoing the first the first line in the packet.

I just make a motion with that?

[0:27:55]

You can make a motion with that.

For the adoption and the approval of the April 29th minutes, right? That's what we what we would need, right?

Yep.

So, I'll make a motion to um adopt the amendments to the meeting minutes from the April 29th meeting as Ashley has covered tonight with the schedule format change and um language clarification and the update of our current board name.

Lisa Montoya, I'll second that.

It has been motioned and properly seconded. All in favor? Aye. Any opposed? Motion carried.

Thank you very much.

Ashley.

Appreciate you, Ashley. Ashley is always so pleasant. Makes me smile.

[laughter]

Next up, we'll have the uh executive report and projects and program report.

So, I'll give you two things that you should have received today. Uh coach appreciation event and family field day, June 5th from 6:00 to 8:00 at Pleasant Park field one and uh field house. You're welcome to come out. Bring your family members. Um come out, hang out. Uh should be a really good event. We started this last year with Allison. Um it's just something else where she's just done an amazing job of really showing our volunteers how much they're appreciated. So, you're welcome to come out for that. We also have an afternoon in the garden, June 27th, 3:00 to 5:00 p.m. Um at Apex Nature Park pollinator garden. It's right there in front of the maintenance shop just as you pass the tennis/pickleball courts on the left-hand side. So, if you're interested in coming out for that, please do. Uh she would appreciate any attendance uh for that. We have uh been through a lot of uh special events over the last few weeks. We still have quite a few more to go. So, June 10th is our next event coming up. We had to cancel sushi and sumo over the weekend

[0:29:56]

um because of the weather, but uh we'll be trying to make up that event um at some point. We don't know what date that's going to be, but it's coming soon. One thing I will tell you is that uh you're going to see the fee study come back. Um that's something we had not discussed. Uh I did want to give you a heads-up about that. Our team, when we started putting the formulas together, we found that some of the prices were really going to skyrocket. And uh we wanted to make sure that we were staying in the market in the area for all of our fees. Um and so we've done our due diligence to go back and look at verbage and try to get the formula to where we're we're staying within the market. Um and Jamila's done a wonderful job with that uh with our managers and for programming. And um it won't be like drastic changes. You'll see just minor changes, but it it affects pricing in a significant way. So, um I did want to give you a heads-up about that. My hope is that that you'll see it at the June meeting. Um that's the one. So, just be aware that that will be coming back potentially in June. That's all I got.

Thank you, sir. Uh next up is chairman's report. I don't have anything today. Uh no one's on the agenda for public comment. Oh, there is? There is? Public comment? Okay, I thought I saw the clock. Public comment? Okay. All right. Okay.

I just wanted to quickly say um um a couple of positions are um term limits are up, and we are um advertising for parks and rec. So, there

[0:31:57]

are three regular No, yeah, two regular Let me make sure this is right. 1 2 3. Yeah. Three regular um member positions up for reappointment. Uh one senior member that is um needs to be filled. So, we will need a senior member 55 and up um to apply for that one position. And one voting youth rep. If the current voting uh youth rep does not want to uh reapply, then uh he then we would need a a new youth representative. And again, that is a voting youth representative, um, for for for your awareness. So, that is all I have.

Okay.

Three slots, one 55 plus, one youth rep, and then an open one. Is that what you were saying? Three total?

All right. Three regular, one senior.

Two regular, I'm sorry. Two regular, one senior, and one voting youth. So, it's four total.

Four total.

Yes.

I didn't think it was a voting youth.

I didn't think so, either.

Non-voting. I wrote the wrong thing down on my paper. Thank Thank you. Correct that.

I haven't voted for a year.

I'm sorry.

[laughter]

Look, you should have said something. So, some advisory board you youth members are voting and some are non-voting. So, but Parks and Rec Board is non-voting. Non-voting youth. So, again, if you have not put your application in, Mr. Rayo, feel free to do so for a reappointment or another youth would

That's Sorry. Does he have to put in another application if he's put in an application already?

Yes.

Oh, all right. Cuz the

You mean a year ago?

Yeah, because the people who put in an application for a shorten shorten term,

[0:33:57]

like Mr. Baber there, he doesn't have to put his back in, does he?

No.

Okay. All right.

No, he does

I'm just asking the question.

Yeah. Right. Um, it has to be a year length, full length, in order to submit another application. What we would require.

So, you're saying he wouldn't have to put in an Avig would have to put in another

Uh, he's been here for a year, so and his term length is a year, so he would need to submit another updated application for interest and confirmation.

And the only reason he doesn't have to put in another application is it hadn't been for a year yet.

It hasn't been a year and he was filling a partial vacancy term and so and it hasn't been a year as well. So, therefore, he would not need to update his application. The current it stays on file. With the current information.

So, he is Rob is automatically considered for the following term, is that right? Without having to put without actually having to submit another application? Is that how that works?

Correct. So, he doesn't have to submit an application as long as he verifies that he wants to be reappointed, we will put his name down on the list for council to look at those applications for new interest and the ones for re- re-appointment interest.

And for the record, I went ahead and submitted, but I would like to

Okay.

So, since we're talking about me, I'm out.

[laughter]

I'm not even going to email you about it.

Not like you're sitting there

most I've been on TV so far.

Yeah.

We'll decide later.

Oh, you know.

Thank you.

So, that's it. Yeah. And Jeremy Croom, his term's up. And he's um submitted his application. And that's it. Any more questions for me?

No, ma'am.

I just wanted to make sure, you know, everyone knew that we are advertising currently. Also, to the live stream, I wanted everyone else to know as well in case there was interest in anyone wanting to

[0:35:57]

fill those vacancies. Or to be on the Parks and Rec.

Thank you. Thank you.

Thank you.

I see Bonnie out there.

What?

Old business. New business?

[snorts]

I thought like that was new business. But just

I'm public speaking.

All right. Well, if not, all we would need Do you have something else, Craig? Okay.

[laughter]

Motion to adjourn.

Second.

Motion and properly second. All in favor? Motion carried. Meeting adjourned.

5 minutes.

5 minutes over.

I didn't know

Over our record.

[laughter]

I didn't see it.
